This page covers the public website at memoryrecall.ai, how the Memory Recall app, which runs on your own computer, handles Google Calendar data if you choose to connect it, and what the app does with voiceprints.
Who is responsible
Memory Recall publishes this website. The operator of memoryrecall.ai is the publisher of this download gate, not a hosted recording service. To ask what we hold or to have it deleted, email support@memoryrecall.ai using the same address you registered or requested a download with so the rows can be found.
Google Calendar (optional, in the app)
Connecting Google Calendar is optional. You start it from Settings in the app, and you sign in on Google's own page; Memory Recall never sees your Google password.
What the app accesses. The only Google permission Memory Recall requests is https://www.googleapis.com/auth/calendar.readonly (see and download calendars you can access). It requests no other Google permission: not Gmail, not Drive, and not permission to change your calendar. With it, the app reads the events on your primary Google calendar from one year back to 60 days ahead, as Google provides them: title, time and time zone, location, description, video-call link, organizer, and guests (names, email addresses and whether they accepted). It also reads your primary calendar's ID, which tells the app which Google account you connected.
How the app uses it. Only for features you see in the app: matching each recording to the meeting it happened during and naming the recording after that meeting; showing your upcoming meetings; adding the meeting's guests to People in the app; narrowing speaker recognition to the people who were invited; and noting the matched meeting's title, time and location in the recording's archive file on your computer.
Where it is kept, and who can see it. Calendar data is stored only in the app's database on your computer, and in any backups of that database you set up. The access token Google issues is encrypted with your computer's own keychain before it is saved. Calendar data is never sent to this website or to Memory Recall, so no one at Memory Recall can read it. It is never sold, never used for advertising, and never used to train AI models. Calendar events are not sent to any AI service. If you choose the optional cloud AI feature, the names you have given people in the app, some of which may have come from meeting invitations, can be included in what is sent to that provider.
Limited Use. Memory Recall's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements.
Stopping access and deleting it. In the app, open Settings, Google Calendar, and click Disconnect. That revokes Memory Recall's access with Google and deletes the saved token from your computer. Meetings already saved stay on your computer so your recordings keep their meeting names; they are removed when you delete Memory Recall's data from your computer. You can also remove Memory Recall's access at any time from your Google Account at myaccount.google.com/permissions.
What this website stores
- From the app's setup and problem messages (described below): the machine code, each kind of message and each fixed code with its time, when we last heard from that machine, when its current stuck period began, and a note of what we last listed it for. The app's version and whether the computer is a Mac or Windows are checked and not kept, and neither is a license or trial token sent with a message. We also send ourselves a daily email listing testers who may be stuck. A line in that email shows a date and any fixed code, with the first 8 characters of the machine code or, if we have one, the email address on the license, and that email stays in our mailbox.
- If you create an account: your email; a one-way hash of your password (never the password itself); whether you have confirmed your email; whether your account is approved, and when that was decided and by whom; the time of your first download; and, for each installer you download, its version, whether it was the Windows or Mac build, and when.
- Only while a password reset is in progress: a hash of the reset link (never the link itself). It expires after one hour.
- If you only request a download: your email. No password is created.
- If you accept the terms in the app: a record of that acceptance. It holds the name you accepted with, when you accepted and when this website received it, which documents and versions you accepted, the app's edition and version, your computer's platform and operating system version, an install id, the machine code, the signature that proves the record, and a short code that identifies the key that made it. It never holds recordings, transcripts, or contacts.
- If you send feedback: the message you typed, an optional email, the page it came from, and what the app sent with it (the category, the app's version, and whether the computer is a Mac or Windows).
- If you hold a paid license: its number, plan and dates; the computers it is used on (their machine codes and one-way hardware codes); and, from the app's checks, when each computer was last seen, the app version it runs, and the state of its last check.
- If you start a free trial in the app: this computer's machine code, three one-way hardware codes, and your trial's start and end dates.
Starting your free trial
When your free trial starts — the first time the app finishes a recording, or 14 days after you install it if that comes first — the app contacts this website. It sends this computer's machine code (the code shown in the app's Settings), three one-way codes made from parts of the computer's hardware (never the hardware serial numbers themselves), the app's version, and when the trial started on this computer. This website keeps the machine code, the three one-way codes, and your trial's start and end dates, so each computer gets one free trial. It does not keep your email, the app version, or anything from your recordings; your internet address is used only to limit how often the request can be made, for 15 minutes, and is not kept with your trial. If the computer is offline at that moment, the app asks again when it is back online.
After that, each time the app starts and about every 12 hours while it runs, it checks with this website that its license is still valid, that the license is in use on no more computers than it allows, and that your acceptance of the terms is on record. A check sends the same machine code and one-way codes, the app's version, a short label for the state of its last check, your license if you have one (its number, type, plan and dates, the computer it is for, how many times it has been moved to another computer, and its signature), and, until this website has confirmed it, the signed record of your acceptance, which includes the name you accepted with. A check never contains recordings, transcripts, or summaries.
Setup and problem messages
So that we can help if something goes wrong, the app tells Memory Recall when it is installed, when your first recording finishes, when processing is stuck, and the kind of error it hit, as a fixed code such as "disk full". These messages are sent only from a copy on a free trial or a pilot license, or with no license yet. A copy with a paid license sends none, and neither does a copy whose license cannot be read. Each message contains no more than that code, the time, a format number for the message, a machine code, the app's version, whether the computer is a Mac or Windows, and, if this copy holds one, its signed license or trial token (its number, type, plan and dates, the computer it is for, how many times it has been moved to another computer, and its signature). As with any internet connection, we also see your computer's IP address. A message never contains recordings, transcripts, summaries, titles, names, contacts, or file paths. We use these messages only to support the app, we may connect them to your license or trial record so that we can help you, and we delete them when they are no longer needed for that. You can read the most recent messages, and stop them at any time, in the app under Settings > Privacy & data. They also stop while "Never send anything to a cloud AI" is on.
What this website never receives
This website never receives recordings, transcripts, contacts, speaker labels, Google Calendar events, or OAuth tokens.
What leaves the computer, and what never does
What leaves your computer is the email you give this website to sign in or request a download, a short record when you accept the terms, one request when your free trial starts (this computer's machine code and three one-way hardware codes), license checks when the app starts and about every 12 hours while it runs (they confirm your license and how many computers use it, and they carry the name you accepted the terms with until that record is confirmed), an update check when the app looks for a new version (it and a download from us send your signed license or lease, never a free trial's), short setup and problem messages from a copy on a free trial or a pilot license, never a paid one (when the app is installed, when your first recording finishes, when processing is stuck, and the kind of error it hit, as a fixed code, which you can read and stop in the app), the app's request to Google for your calendar events if you connect Google Calendar, and transcript text only if you choose optional cloud AI.
Recordings and contacts never leave your computer, and this website never receives your recordings, transcripts, or contacts.
Voiceprints (in the app)
A voiceprint is a set of numbers made from the sound of a person's voice. The Memory Recall app makes one for every voice it hears in your recordings, including people who never use the app, so that it can tell speakers apart and recognize the same person later. A voiceprint may be a biometric identifier under laws such as the Illinois Biometric Information Privacy Act.
Voiceprints are made, stored, and matched only on your computer. This website never receives them, and we cannot reach them. A voiceprint stays until it is erased or deleted. The app also deletes voiceprints on its own when a deleted recording is removed for good after 30 days, and replaces the ones it made when a recording is processed again. Your backups contain voiceprints, so they go wherever you put your backups.
To erase the voiceprint of a person you have named, open that person's page in the app and choose Erase permanently. To erase every voiceprint at once, named and unnamed, choose Erase all voiceprints under Settings > Privacy & data. None of these reaches a backup: a backup keeps the voiceprints it holds until that backup is deleted. The app normally keeps your 14 most recent backups and deletes older ones on its own. Unless you choose Delete everything when you uninstall, a Mac keeps your database, which holds your voiceprints, in the MemoryRecallCustomer folder in your home folder, and Windows removes the database after saving a final backup that holds them.
Retention
Website rows stay until you ask us to delete them, or until we remove an unused account. Google Calendar data is never held by this website; in the app it is kept on your computer until you delete it, as described under Google Calendar above.
Setup and problem messages are deleted sooner: when they are no longer needed to support the app.
We keep your IP address for up to an hour to limit repeated attempts (such as signing in or up, resetting a password, downloading, or sending feedback), then delete it.
Deletion
To delete website-held rows (your account email and any download request), email support@memoryrecall.ai using the same address you registered or requested a download with. We will delete the rows this website holds for that email. App data — recordings, transcripts, Calendar matches, and everything else on your computer — lives on your machine, so you delete it there.
Setup and problem messages are held by machine code, not by email, so you do not need an account to have them deleted. Email support@memoryrecall.ai with the machine code shown in the app under Settings > License, and we will delete the messages held for that code. This does not change a daily email already sent to our own mailbox.
